How do I create a dictation ID?

HIM Transcription Services & Health Information Exchange provides dictation IDs for physicians, nurse practitioners and medical trainees. 

Out-of-province physicians and new MSIs/residents/fellows must be registered and have their privileges with Medical Affairs before they can obtain a dictation ID. 

Some sites require patient clinical information system (PCIS) training before dictation IDs can be issued. See the full list below.

The HIM intranet site has Transcription Services contact information and resources, including dictation ID forms. (Health authority network access is required to access the site.) 

If you have completed the required PCIS training, it will take up to three business days to process your ID. Your ID and dictation information will be emailed to you.

As you are legally responsible for the report content, it is important that each dictating author uses their own dictation ID in order for the correct provider name(s) to appear on the report.


As well, the M*Modal transcription system is based on an electronic voice recognition system and you will be defining your own voice profile in the system. It is very important that you do not share your dictation ID since this will compromise your own speech profile. This will prolong the editing process and turnaround time for your reports, which in turn can compromise patient care.


You will need a dictation ID set up at each health authority you dictate at.  Please contact Transcription Services so you can ensure you have the correct access set up for the health authority you will be dictating at.
